This position is located in the Department of Homeland Security, United States Coast Guard, Surface Forces Logistics Center, Engineering Services Division, Baltimore, MD.

Duties

The primary purpose of the position is to perform a variety of administrative work and clerical tasks in conjunction with the use of various office automation software capabilities. Incumbent will serve as the senior administrative assistant for the Division.Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include:- Locating and assembling information for various reports, briefings, presentations, conferences, etc.;- Coordinating and following up with staff members to ensure that commitments and schedule meeting are maintained;- Redesigning and organizing filing systems;- Developing/maintaining the flow of administrative and clerical processes in the Division;- Maintaining subject matter files and records that relate to the work of the unit;- Creating and maintaining status of actions and correspondence logs; - Overseeing distribution of mail and other files;- Developing methods for automating reports using a variety of software packages;- Identifying and selecting appropriate software types to meet office needs;- Responding to routine and non-technical requests for information such as status reports, suspense dates and similar information readily available from files;- Documenting administrative processes used in the Division; - Tracking fund levels in various division accounts, including training and overtime funds;- Receiving visitors and telephone calls; and,- Serving as Time and Attendance Clerk.

Requirements

  • U.S. Citizenship is required.
  • Must be able to type 40 words for minute.

Qualifications

Applicants must have completed at least 1 full year of experience (equivalent to the GS-6 level in the federal service) performing a variety of clerical and administrative duties that included the use of word processing, database management, spreadsheets, or other similar office automation applications software and transmitting, receiving and acknowledging electronic mail and messages; assembling data from files; and receiving visitors and callers for an office. National Service Experience (i.e., volunteer experience): Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.The Office of Personnel management (OPM) must authorize employment offers made to current or former political appointees.  If you are currently, or have been within the last 5 years, a political Schedule A, Schedule, C, Non-career SES or Presidential Appointee employee in the Executive Branch, you must disclose this information to the Human Resources Office.
