The incumbent is responsible for carrying out a wide variety of administrative tasks that contribute to the overall efficiency of the in planning, directing, managing, and coordinating the administrative affairs of the office.

Duties

Office of Housing and Regulatory Policy The Office of Housing and Regulatory Policy (OHRP), part of the Division of Housing, Mission, and Goals, is responsible for analyzing and developing housing and regulatory policy for the Enterprises, pursuant to their statutory missions and congressional charters. This vacancy announcement will be used to fill position in the Division of Housing Mission and Goals as Administrative Assistant, to Senior Associate Director, OHRP. You will be relied upon as valued member of a dynamic team. Major Duties & Responsibilities Serves as central point of information concerning activities of the office by answering non-technical inquiries, referring technical inquiries to the appropriate person, securing requested information, screening visitors, answering telephone calls, assembling materials, obtaining requested data from other FHFA offices, and arranging appointments for meetings. Provides support to office staff members, as requested. The incumbent will be responsible for the following: Manages the Office of Housing and Regulatory Policy staff's calendars and schedules appointments, meetings, and conferences without prior clearance, based on knowledge of their workload and current critical projects and programs. Schedules rooms, notifies speakers and participants, prepares itinerary, and background and briefing material, etc. Establishes priorities and undertakes work projects on own initiative, and evaluates needs for office maintenance. Provides office support, such as agenda and report preparation; drafting meeting minutes and take-aways; and onboarding tasks and activities using office automation/workflow systems Screens help desk calls, and provides guidance to FHFA staff regarding automated facilities request system and electronic requisition system. Screens visitors and telephone calls, responds to non-technical inquiries or secures the desired information when appropriate. Obtains requested data and/or documents from other support offices. Manages the preparation and distribution of reports including gathering data and/or compiling information. Drafts special reports and analyses for review by the supervisor. Assists with preparing quarterly performance reports. Reviews all correspondence and other documents for the Office of Housing and Regulatory Policy to ensure that they are in accordance with established policy, FHFA procedures, and in proper format. Assures that all outgoing correspondence has been reviewed and signed by the appropriate designated officials. Drafts routine correspondence. Tracks all incoming and outgoing correspondence in FHFA's Electronic Tracking System. Prepares travel vouchers, handles complex travel arrangements (transportation, lodging, events, etc.), prepares claims for travel reimbursement, and obtains travel approval in accordance with FHFA procedures and Federal travel regulations. Uses a computer to type, proof, and edit a variety of correspondence, tables, charts, schedules, etc., and to prepare presentations using a variety of software programs. Retrieves information from the Internet and other electronic databases. Prepares time and attendance records, ensuring accurate time and attendance documentation, transmittal, and reconciliation of records. Serves as the records management liaison, enforcing FHFA's procedures on the tracking, retention, and disposal of agency records. Performs other duties as assigned.

  • SF 50's are required with the exception of current FHFA employees. Please include one showing your tenure and competitive status. You will not be considered without this.

Qualifications

You may qualify for your desired series and grade level if you meet the following qualification requirements: MINIMUM QUALIFICATIONS: Minimum Qualification EL-08: Applicants must have 52 weeks (one-year) of specialized experience equivalent to the next lower grade level as described below. Experience: I qualify for the EL/GS-08 because I have at least 52 weeks of specialized experience at the EL/GS-07 or equivalent demonstrating work experience with one or more of the following: (1) establishing priorities; (2) organizing, maintaining a workload and meeting deadlines; (3) ordering office supplies and appropriate quantities of materials for office activities; (4) researching, retrieving and collecting data for reports using a variety of computer programs, applications;(5) organizing and managing records consistent with management standards and practices; (6) providing support services for an organization such as managing calendars, scheduling appointments, managing time and attendance, preparing travel vouchers; (7) responding to staff's procedural questions; (8) performing clerical tasks; (9) experience with Microsoft Office and (10) reviewing assigned work products for proper grammar, spelling, and punctuation. Time-In-Grade: Current or former Federal government employees who have held an EL/GS position in the preceding 52 weeks, must meet the time-in-grade requirement. To be eligible for the EL-08 position, applicants must have served 52 weeks as an EL/GS-07 or higher in the Federal Service. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
