The primary purpose of this position is to perform various administrative, clerical, and programmatic management duties in support of maintenance operations and all supporting staff agencies. Perform office automation and administrative support to management and/or programs involving analytical functions using multiple automated programs and software.

Duties

Manage inquiries and processes actions through the Military Personnel Data System (MILPDS) and PC-III to include in-processing and out-processing personnel, officer, and enlisted evaluations (OPRs/EPRs), and decorations. Review reports, forms, documentation, and other related information concerning Air Force members and constructs/maintains military personnel records or portion pertinent to assigned area. Prepare a wide variety of recurring and nonrecurring correspondence, reports, and other documents from information obtained from the staff, files, and or other sources and maintains supervisor's calendar, coordinates meeting arrangements, and/or schedules meeting and/or conferences. Use multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Perform other clerical, administrative, and program management duties in support of the unit

Qualifications

Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement. SPECIALIZED EXPERIENCE: I have at least one year of specialized experience equivalent to the GS-05 (or higher) grade level or equivalent pay systems (may have been obtained in the federal service, military, or public sector) which includes assisting supervisors, managers, and staff in accomplishing all necessary internal operations to include administrative training, development of organizational operating instructions and regulations, and personnel assistance; advising supervisors and managers on HR policy and execute directives through the establishment of procedures for associated programs; collecting, organizing, and compiling HR data in order to recommend actions to the supervisors and managers. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-­grade requirements to be considered eligible. One year at the GS-05 level is required to meet the time-in-grade requirements for the GS-06 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of extensive rules, procedures, or operations applied to clerical assignments to perform the procedural and administrative work of the office, such as preparing and editing documents, maintaining files/records, making and preparing travel arrangements, locating, assembling, and composing information for various reports, inquiries, and nontechnical correspondence. Knowledge of office functions and commitments of supervisor and staff to prepare and review correspondence, to screen telephone calls and visitors, to maintain supervisor's calendar, and to perform other substantive or administrative work of the organization. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs. Ability to effectively analyze correspondence and formulate plans of action based on specific guidelines, meet timelines and schedules while producing administrative requirements and working with senior staff providing sound recommendations to resolve administrative issues. Skill in typing; a qualified typist is required. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
