The primary purpose of this position is to perform administrative assistant work, including a variety of clerical functions in support of the organization's mission and functions.

Duties

Manages the review and processing of incoming and outgoing correspondence, reports, and other materials submitted for Division's or other Division staff signatures by understanding Air Force policy and regulations. Uses varied and/or advanced functions of one or more spreadsheet/database softwares to produce a wide range of documents, formats, etc. Serves as an organization focal point for the division for arranging division meetings, answering telephone calls, and mail pick-up/delivery. Manages the travel program for all Division staff. Manages all other clerical and administrative work in support of the Division staff.

Qualifications

Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions per Miscellaneous Clerk and Assistant Series, 0303, with no Individual Occupational Requirement (IOR) and Group Qualification Standard for Clerical and Administrative Support Positions. Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement. BASIC REQUIREMENT: SPECIALIZED EXPERIENCE: Applicants must have at least one year (52 weeks) of specialized experience at the next lower grade GS-05, or equivalent in other pay systems. Examples of specialized experience includes administrative policies, procedures, rules, guidelines, publications, to perform the procedural and administrative work of the office, such as screening calls and visitors, maintaining supervisor's calendar, preparing, reviewing, and editing documents, locating and assembling information for various reports, maintaining files/records, and making and preparing travel arrangements. NOTE: Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-­grade requirements to be considered eligible. One year at the GS-05 level is required to meet the time-in-grade requirements for the GS-05 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of advanced functions various office automation software programs, tools and techniques to support office operations and produce a variety of documents, such as letters. reports, spreadsheets, databases, and graphs. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. Knowledge of format, rules, procedures and operations applicable to clerical assignments to prepare/review routine correspondence/ reports, screen telephone calls and visitors, maintain files/records, review and process mail, and perform clerical procedures to arrange a variety of material from different sources and other administrative work of organization. Skill in typing; a qualified typist is required. Ability to locate, assemble, and compose information for routine reports, inquiries, and non-technical correspondence. Ability to communicate effectively, both orally and in writing, using tact and courtesy. Ability to plan, organize, assign and delegate work and meet deadlines. Knowledge and general understanding of Air Force mission, as well as Air Force Research Lab (AFRL) organizational structure and processes in order to efficiently accomplish duties. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
