Duties

As an Administrative Support Specialist you will: Provide the full range of administrative services in response to the specific needs of the organization. Assist program and management officials in defining the level and kinds of services needed to carry out assigned responsibilities and to accomplish project objectives. Develop and apply methods and procedures designed to provide administrative services to the serviced organization in the most effective manner possible. Meet on a regular basis with team leaders, supervisors, and managers to provide advice and assistance, resolve practical problems, and identify ways to expand, enhance, and improve the administrative services. Evaluate the quality, effectiveness, and responsiveness of services provided and initiate improvements where possible. Maintain the supervisor's appointment calendar, using manual or automated processes. Schedule appointments independently, remind the supervisor of meetings, brief the supervisor on the subject matter prior to the meeting, and make the administrative arrangements as required. Make all necessary arrangements for the supervisor upon scheduling appointments based on knowledge of the supervisor's preferences in travel. Complete the processing of vouchers. Maintain daily contact with the supervisor and other senior leadership in the performance of travel arrangement duties. Make necessary arrangements for the frequent, and sometimes prolonged, travel for senior leadership. Resolve travel issues and problems with appropriate offices and if required, prepares, and submits travel vouchers for reimbursement. Collaborate and prepare comprehensive analysis reports on specific data covering information relative to assigned areas of responsibility. Serve as records manager for the organization.

Qualifications

All qualification requirements must be met by the closing date of the announcement. Minimum Qualifications: To qualify at the GS-11 grade level, you must have at least one year of specialized experience at or equivalent to the GS-09 grade level, which must include the following experience: scheduling meetings, attend meetings to take notes and plan travel arrangements for senior leadership. OR A Ph.D. or equivalent doctoral degree, OR 3 (three) full years of progressively higher level graduate education leading to such a degree; or LL.M., if related. OR A combination of the above experience and education that meets 100% of the qualification requirements for this position. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Copy of your transcripts or equivalent documentation is required for positions with an education requirement, or if you are qualifying based on education or a combination of education and experience. An official transcript will be required if you are selected.

College or university degree generally must be from an accredited (or pre-accredited) college or university recognized by the U.S. Department of Education. For a list of schools which meet these criteria, please refer to Department of Education Accreditation page.

FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in conventional U.S. education program.
