Job opening: Administrative Project Specialist

Salary: $64 957 - 84 441 per year

This position serves as a Administrative Project Specialist in the Office of Museum Services (OMS). The incumbent will participate in programmatic administrative functions to support the Deputy Director of OMS and an to improve efficiencies in office operations.

Duties

If selected for the Administrative Project Specialist position, the incumbent will provide support to Deputy Director and Associate Deputy Director of the Division, perform various programmatic administrative functions related to improving the efficiency and/or effectiveness of the Office of Museum Services activities. Typical work assignments will include, but are not limited to: Maintain office calendars and appointment/meeting schedules, arranging meetings, conferences, and training events. Maintains files to ensure compliance with applicable regulatory guidance. Monitors administrative actions for OMS Deputy Director and Associate Deputy Director. Serves as the point of contact for the Deputy Director requests. Serves as department point of contact for gift reporting and other ethic issues. Serves as the Timekeeper, managing and processing time and attendance for the OMS staff via the agency's electronic time and attendance system. Assists with logistical and administrative support for staff meetings, panel meetings, webinars, conferences, workshops, and presentations including preparation of agency materials and note taking. Supports OMS records retention/management. Performs other duties as assigned.

Requirements

  • Status candidates must meet all qualification requirements, to include time-in-grade and time after competitive appointment, and specialized experience by the closing date of this announcement and before placement in the position.

Qualifications

MINIMUM QUALIFICATIONS: GS-9: To be eligible at the GS-9 grade level, you must have: at least one year of specialized experience equivalent to the GS-7 grade level. Specialized experience is defined as experience that includes at least two out of the three major areas: (1) assisting with logistical and administrative support for internal and external meetings; (2) experience serving as point of contact for ethics issues, including gifts reporting (3) familiarity with federal records retention and management. OR I have a Master's or equivalent graduate degree (e.g. LL.B or J.D., related to the position) in an accredited or pre-accredited college or university or 2 full years of progressively higher-level graduate education leading to such a degree. Graduate level education must demonstrate the competencies necessary to do the work of the position. Qualifying education includes one or a combination of the following fields: Museum Studies, Business Administration, or Nonprofit Management. OR I have some specialized experience as described above, but less than one year and I have more than one year but less than two years of graduate education. A combination of specialized experience and graduate level education (i.e. Master's or relatable LL.B or J.D. degree). Graduate level education must demonstrate the competencies necessary to do the work of the position. Qualifying education includes one or a combination of the following fields: Museum Studies, Business Administration, or Nonprofit Management. (Only graduate education in excess of the first year may be used to qualify applicants for positions at the GS-9.). A copy of the applicant's TRANSCRIPTS are required to verify satisfactory completion of the educational requirement listed above. Please see "Required Documents" section below for what documentation is required at the time of application. Note: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Combining Education and Experience: The number of semester hours required to constitute a major field of study is the amount specified by the college or university attended. If this number cannot be obtained, 24 semester hours will be considered as equivalent to a major field of study. The nature and quality of this required course work must have been such that it would serve as a prerequisite for more advanced study in the field or subject-matter area. Related course work generally refers to courses that may be accepted as part of the program major. The combination of education and experience must equate to a minimum of 4 years.

PASS/FAIL COURSES:

GRADUATE EDUCATION:
One academic year of graduate education is considered to be the number of credit hours your graduate school has determined to represent one academic of full-time study. Such study may have been performed on a full-time or part-time basis. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.

FOREIGN EDUCATION:
if you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show that the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
